Site Coordinator Guide

Each televised site should have a Site Coordinator, Volunteer Coordinator and Food Coordinator. It is suggested that each have clearly defined roles to assist each other in the success of each site. The Boy Scouts could assume the Site Coordinator role. A Volunteer Coordinator should be chosen from the group providing the volunteers. The Food Coordinator should be a representative of the nonprofit agency handling the food distribution. Each coordinator should be able to speak for the organization they represent.


Site survey prior to event to create map and detail specifics
Coordinate parking and traffic flow at site
Delegate posting of banners & posters at site
Have telephone at site available to site coordinator & provide number to KWTX Event Coordinator
Handle telephone communication with KWTX Event Coordinator
Traffic flow reports
Progress reports on food collected
Keep list of major contributors for reporting on TV
• Working with Volunteer Coordinator & Food Coordinator, arrange to feed volunteers working at site.
• Arrange for participants in Live Television events
• Assign duties to volunteers through volunteer coordinator

• Secure adequate number of volunteers to handle each task
• Assign duties in consultation with Site Coordinator
• Assign shifts to volunteers so entire day (6am-8pm) is covered

• Greet & unload arriving vehicles
• Carry food to trucks or storage point
• Sort & pack food in boxes
• Load trucks or unload at warehouse
• Assist with other duties as needed
• Site Cleanup after drive

• Secure adequate storage facilities
• Make arrangements to handle perishable food should the need arise
• Assign spokesman from your organization to be on hand throughout the drive
• Have receipts for donations for IRS purposes available
• Develop plans to share food with other nonprofits in your county
